User Roles and Permissions

OrganiserAttendeeSpeakerTeam Admin

Use this reference to check who can view or change organisation and event information.

Before you start

You need:

  • the organisation or event you are working in;
  • the person's current role or event relationship;
  • the task they are trying to complete.

Steps

  1. Identify how the person has access

    Check whether they are an organisation owner, admin, editor or viewer, or whether they have access as an attendee, invitee or speaker.

  2. Compare their access with the task

    Use the tables below to see which role normally handles the task.

  3. Ask an owner or admin when access must change

    Owners and admins can manage non-owner team access. Changes involving an owner must be made by another owner.

Organisation team roles

RoleCan doKey restrictions
OwnerManage organisation settings, billing, team access, events, event status, Enterprise settings and integrations. Owners can also delete the organisation and make or remove other owners.The last owner cannot be removed, demoted or leave the organisation.
AdminManage organisation settings, billing, non-owner team access, events and event status. Admins can configure SSO and view the audit log when the plan includes those features.Cannot delete the organisation, create an API key, install an integration or change an owner's access.
EditorCreate and edit events, activities, invitations, attendees, speakers, groups, moments and leaderboard content.Cannot publish, cancel, discard or archive events. Cannot delete events, manage billing, manage team access, configure SSO or view the audit log.
ViewerView organisation and event information, team members, invitations, speakers, agenda content, analytics and feedback.Cannot change organisation or event content, manage invitations, change event status, manage billing or manage team access.

Plan limits can still block an action that the person's role otherwise allows. See Plans and inclusions.

Event-side access

Access typeWhat it meansTypical access
AttendeeThe person has an admitted place at the event.View available event content, favourite activities, submit activity reviews, answer live polls, and use enabled attendee features such as Moments and the leaderboard.
InviteeThe person has an invitation but has not necessarily accepted it.Accept or decline while responses are allowed. If the event is full, accepting can place the person on the waitlist.
SpeakerThe person's account is matched to a speaker profile for the event.Update their own speaker profile and profile picture. Event access still depends on any separate attendee or invitation relationship.

Owner safeguards

  • An organisation must always have at least one owner.
  • Only an owner can invite or promote another owner.
  • Only an owner can demote or remove an owner.
  • A sole owner cannot leave until another owner is appointed or the organisation is deleted.
  • Permission checks run when an action is submitted. An open page does not preserve access after a role changes.
If something goes wrong

A person sees a permission message. Check their current organisation role and plan. Ask an owner or admin to change a non-owner role or complete the task.

A person can view an event but cannot edit it. They may be a viewer, attendee, invitee or speaker. Event editing requires an owner, admin or editor role.

An admin cannot change an owner. Owner changes are owner-only. Ask an existing owner to make the change.
