Event Statuses
Event status controls where an event appears, which status changes are available, and whether attendees can access it. RSVP availability is tracked separately for Upcoming and In progress events.
Before you start
You need:
- the event name;
- the current status badge;
- owner or admin access if you need to change the status.
Steps
Find the status badge
Open the event or the organisation's event list and read the status badge.
Compare it with the reference table
Use the table below to understand what the status means and which actions are available.
Change status from Event settings when available
Owners and admins can open Event settings and use the Status card for available manual changes.
Lifecycle statuses
| Status | Meaning | Common actions and effects |
|---|---|---|
| Draft | The event is being prepared and only the organisation team can see it. | Owners and admins can publish or permanently discard it. RSVP status is not active. |
| Upcoming | The event is published and scheduled for the future. | People with event access can see it. Owners and admins can cancel it. RSVP can be open or closed. |
| In progress | The event has started. | Lylac moves an Upcoming event to In progress at its start time. Owners and admins can cancel it. |
| Completed | The event has ended. | Lylac moves an In progress event to Completed after its end time. Owners and admins can archive it. |
| Cancelled | A published event was permanently cancelled. | Attendees can no longer access it. It is hidden from the main event list by default, but organisers can include Cancelled in the status filter. |
| Discarded | A draft was permanently discarded. | It is read-only and hidden from the main event list by default, but organisers can include Discarded in the status filter. |
| Archived | A completed event was moved out of the main event list. | Owners and admins can open it directly and unarchive it, which returns it to Completed. |
Manual status changes
| From | Available manual change | Notes |
|---|---|---|
| Draft | Publish event | Moves the event to Upcoming, or straight to In progress if its start time has passed. Requires a start time, a future end time, an RSVP deadline that has not passed, and room in the plan's event allowance. |
| Draft | Discard | Permanent. No attendees have been notified. |
| Upcoming | Cancel event | Permanent. Attendees lose access. |
| In progress | Cancel event | Permanent while the event is underway. |
| Completed | Archive event | Hides the completed event from the main event list. |
| Archived | Unarchive | Returns the event to Completed and makes it visible in the main event list. |
If something goes wrong
A status change is not available. The event may not support that change, or you may not have owner or admin access.
Publishing is blocked. Check the publishing warnings for a missing schedule, RSVP deadline or plan allowance.
A cancelled or discarded event is missing. Open the Status filter and include Cancelled or Discarded.
An archived event is missing. Archived events are not available in the main list's status filter. Open the event directly to unarchive it.
If you cannot open the event, check that you are signed in to the right account and ask your organiser to confirm your access.
